How to Write a Letter Properly | Simple Steps

I have to admit that I am not a big fan of writing letters. I think they take a lot of time and effort, though some people enjoy them. So today I wanted to share with you my tips for writing a successful letter. These tips are basically the things I wish someone told me when I was learning to write letters. I hope these tips help others who want to improve their writing skills.

So let's get started!

The first thing you have to do is pick up a piece of paper and pen. You want to make sure that the paper you use is good quality paper. After that you want to start writing out your letter. The best way to start writing is to put down what you want to say first and then go back and add details. When writing out the letter you want to be specific about things. You don't want to just say 'I love you' because you might not mean it. Make it clear and specific about what you want to say. Once you're done writing down everything you want to say you need to stop and read over your letter. Read it over and think about if there's anything else you would like to add. Then you want to sign your name before you send your letter.

The first thing we need to do is get our creative juices flowing, find something inspiring. Maybe it’s a picture, maybe it’s music, maybe it’ s just a feeling. Whatever inspires us, let it guide us in getting started! Then we start sketching out what we would like to say and how we want to say it. Now comes the hard part… writing the letter! You have to think about where you plan to send it, who may receive it, what you hope they’ll feel after reading it (not only their thoughts but also yours). Think about how you want them to respond and if it’s appropriate at all. Make sure you use a formal tone of voice and keep it short. Don’t worry about spelling errors, grammar mistakes, and typos anymore; it doesn’t matter here! Just make sure you are nice and friendly.

Parts of a Letter

1. Address

The address should be printed on the envelope. If you do not have your own envelope, any plain white paper (or colored paper if you prefer) will work well. Write the recipient's name at the top left hand corner. On the right hand side, write the date and the postal code. When writing the street number, put the zip code first, followed immediately by the street number without spaces.

Subject lineWrite the subject on the envelope. You may use a different font than the body text of the letter. Make sure to keep the subject short and concise. Avoid using abbreviations unless they are widely understood. Do not use any special characters as these may confuse the mail service and prevent the mail from being delivered.

BodyStart off by thanking the person who sent the letter. Next, explain what kind of information was included in the letter. Give the date, time and place where the letter was sent. Express how long you've waited for them to respond and if the waiting period was worth it. Mention what you want the person to do or provide. Finally, ask the person to send you some more info about their business or product. Remember to end with something positive like "I hope we can continue our relationship soon".

SignatureSign your name in the lower right-hand corner of the envelope. Be careful not to sign your full name as this could easily become a legal issue if someone gets hold of this information.

Understand the Letter Writing

What to write?

In order to properly prepare a good correspondence, it is first necessary to determine what you want to say. In other words, if you know what you have to tell someone, you can make sure you are writing something worth reading. To do this, you may need to think about whether you are sending a message to a friend or business partner, colleague, client, customer, member of the public, etc...

How to start?

The next thing to determine is how to begin. If you are writing a formal business letter, the usual way would be to use “Dear Sir/Madam”. However, if you are writing a casual letter, then you should simply begin with “Hi!”, “Hello”, “Hey”, or “Hey man”. Whatever you decide, make sure to write the proper salutation.

What to write?

Next, you should write what you have to say. Do not hesitate to keep things short if they are simple enough, but try to avoid being too brief. You may even want to read the last letter written to you before starting yours, just to get ideas on what sort of letter you want to give.

How to end?

Finally, it is time to finish off your letter. Remember that there are no rules on how to end a letter, but usually people tend to express their gratitude using phrases like “Thank you”, “Yours sincerely”, “Best regards”, “Regards”, or ” Yours truly”.

Steps to Write a Letter

1. Write the Address

Use the recipient's name followed by the correct address. Do not start your sentence with the word you. If you do, then you need to add the preposition 'to' and put the person's name before the rest of the address.
Choose a SubjectChoose a subject that best suits the purpose of your letter. If you're writing a thank-you note, choose a subject that relates to what you received. If the recipient is a business, choose something related to their product or service (e.g., “I’m excited about our newly signed partnership with XYZ Company! I just wanted to let you know how much we value our relationship.”) If you’re sending a card, make sure it’s not too personal (e.g., you don’t want to send someone a birthday card if they haven’t told you yet). Keep things professional.

Add Greeting Add a nice greetings to the reader of your letter
Write IntroductionStart by introducing yourself at the beginning of the letter. Tell them who you are and tell them what you are interested in. You might even use the present tense when writing about what you plan to do.

Choose a BodyThe body should start out with a greeting, followed by an acknowledgment and then a statement of thanks. Make it short and sweet; no need to go on and on. You can add some details of the situation in parentheses afterward, but avoid going off on tangents—keep it simple and direct.

Add Personal TouchesA handwritten note goes above any email message you send. That way the person gets a sense of who you are and what’s really important to you.

ProofreadMake sure your grammar and spelling are perfect before hitting SEND. A mistake won’t matter much once you hit the send button, but it may hurt your chances of receiving a reply.
